Sales Support Coordinator & Administrative Assistant Position Summary
Marketing Coordination/Creation
- Direct liaison with our Marketing Firm, project oversight/management
- Creating PPT decks for CIO Reviews, Sales Items, etc.
- Setting up/sending out Sequences/Email Campaigns
- Creating in-house graphics when needed:
- Client events
- External facing documents or cards
- Quarterly Candidate survey reports
Automation/Analytics:
- Building and updating O365 tools (VBA Development)
- Excel/PowerBI Dashboard creation, management and distribution
- Point person for process improvement suggestions and implementations
- Training on tech stack and tools
- Manage ScreenCloud, Zapier and CRM/ATS automation
Program/Event Coordination & Oversight (TRP and Whiskey Doctrine Focus)
- Coordination and organization for TRP and Whiskey Doctrine events (food, nametags, set up, close down, vendor relations)
- Communications to TRP as needed
- Onboarding of TRP members and website management (taking away from David)
- Newsletter support and organization
- Deel Oversight
- ODG event support for external clients as well as ODG signature events like Grandview and The Club (vendor relations, food and beverage, etc).
- TRP sourcing support
ELT and Sales Administrative Assistant
- As needed errands as CEO – personal or work related
- Post office support
- Assist executive team with general office management duties as assigned.
- Cleanup and setup of office events.
- ODG event support for internal and external clients as well as ODG signature events like Grandview and The Club (vendor relations, food and beverage, etc).
- Documentation in our ATS
- Coordinate ODG internal team events
- Responsible for office supplies ordering and dispersing
- Administrative duties
- Welcome ODG visitors in the office and provide support
Rolled off my current role to ELT and Sales Administrative Assistant
- Updating documentation for Sales Support
- Setting up calendar invites for external meetings
- Sending out DocuSign Docs like RTR for signature
- Office management
- Running and giving reports on data, CRM or otherwise
- Bulk uploading/updating contacts to CRM
- Putting together Filter Views or Hotlists/Tearsheets
- Candidate Submittals via VMS Portals
- Inputting/Formatting/Posting Job Records
The projected hourly range for this position is $40,000 to $55,000 per year.
