The American Jewish Medical Association (AJMA) (theajma.org) is a non-political, non-profit organization with the mission to build an empowered community of Jewish Health Care Professionals committed to combatting discrimination and antisemitism and to promoting merit and excellence.
We advocate to address contemporary issues affecting our members and society, including recently rising incidents of antisemitism (including anti-Zionism) that impact the workplace and patient care. We leverage our unified voice to stand strongly with Israel, to promote Jewish values and ethics in medicine, and to combat antisemitism within the healthcare community. Our programs include in-person and webinar events, as well as initiatives that support healthcare professionals and community members.
AJMA is a rapidly growing organization, offering significant room for professional growth. We seek a sharp, flexible, and highly organized Chief of Staff / Program Director to serve as the right-hand person to our CEO. This is a pivotal role that ensures the smooth execution of our programs and organizational initiatives.
Position Summary
The Chief of Staff / Program Director will be responsible for program coordination, virtual and in-person event logistics, and executive support, ensuring the seamless execution of AJMA’s initiatives. This role requires strong problem-solving skills, excellent communication abilities, and a proactive approach to managing both strategic and operational tasks. The ideal candidate is resourceful, detail-oriented, and able to adapt to a fast-paced environment and work flexible hours. This position reports directly to the CEO and includes managing communications with members, partner organizations, board members, and donors.
Key Responsibilities
Executive Support
- Serve as the primary associate to the CEO, managing communications and scheduling.
- Draft and respond to emails on behalf of the CEO and AJMA.
- Prepare reports, presentations, and briefing materials.
- Ensure the CEO is well-prepared for meetings and engagements.
Program & Event Coordination
- Plan and execute in-person and virtual events, including webinars, small conferences, and networking sessions.
- Coordinate event logistics, including venue selection, vendor management, registration, and technology needs.
- Develop and maintain event timelines, budgets, and promotional materials.
- Support speaker coordination, agenda development, and attendee engagement.
Membership & Community Building
· Support initiatives to grow and engage AJMA’s membership base.
· Assist in developing programs and outreach efforts that build a strong community among members.
· Respond to inquiries and provide support to members.
· Coordinate the AJMA monthly newsletter and other member communications.
Advocacy & Antisemitism Response
- Assist in monitoring and responding to incidents of antisemitism in healthcare settings.
- Support initiatives that advocate for Jewish medical professionals and their interests.
- Help develop resources and communication strategies to address antisemitism and discrimination in healthcare.
Fundraising & Development Support
- Assist in fundraising efforts, including grant applications and sponsorship opportunities.
- Maintain donor records and ensure timely follow-up on fundraising initiatives.
Organizational Operations & Communication
- Manage correspondence and inquiries, ensuring prompt and professional responses.
- Assist with communications to members, partner organizations, and board members.
- Maintain organizational records, databases, and internal communications.
Qualifications & Skills
- Bachelor’s degree required.
- 2-5 years of relevant experience in program coordination, executive support, communications, presentations, and business activities.
- Exceptional communication and interpersonal skills.
- Strong problem-solving abilities and adaptability.
- Highly organized with strong attention to detail.
- Ability to work independently and handle multiple projects simultaneously.
- Proficiency in Microsoft Office Suite and Google platforms, Zoom, and other digital tools.
- Experience in the Jewish community or healthcare sector is a plus.
