LOCATION/SCHEDULE This is a
hybrid position based in Miami. All candidates must be located in the Miami-Dade region at the time of hire.
SCHEDULE:
- Monday - Friday (June-August & January)
- Tuesday - Saturday (September-May)
- Ability to work some nights and weekends as dictated by organizational needs.
- Able to work a Tuesday – Saturday work schedule, as needed.
- Work, at times, requires local travel beyond the office to different physical locations across the Miami area for recruitment sessions and Saturday programming.

Position Overview
The
Program Operations Manager plays an essential role in overseeing the operations of the high school component of the SEO Scholars program. The Program Operations Manager ensures the seamless execution of programming, including in-person Saturday and summer sessions, preparing meticulous in advance and problem-solving for virtual and in-person program components. This person draws on their organizational and project-planning skillset to ensure the effective implementation of operational processes across grade-level cohorts, directly impacting the scholar experience of the SEO Scholars program. The position is also responsible for advancing the effectiveness of operational systems and processes across the program, including short- and long-term strategy for scaling systems as we grow.
Manage Program Operations (65%)
- Design, implement, and maintain operational systems and processes for virtual, in-person Saturday, and in-person summer programming for high school students; Ensure the successful operational implementation of SEO Scholars programming including providing effective on-site and virtual operational management.
- Oversee and streamline systems for data entry, maintenance, and reporting of all program data including but not limited to: Attendance tracking, class schedules, Recruitment data, Academic data (grades, assignment completion, attendance, retention, demographics), College Admissions data (SAT scores, college lists, financial aid, applications, admission results).
- Manage procurement, tracking, and distribution of all Scholar needs including technology, curriculum, meals, and transportation (if needed). Manage program technology, including developing systems for the distribution of student technology (Chromebooks, graphing calculators, etc.) and troubleshooting.
- Manage program materials purchasing and organization systems including tracking receipts and creating monthly expense reports.
- Owns all aspects of the program space during in-person program hours, serving as the first point of contact for any issues arising with the space, technology, materials, and/or requests from Scholars and Staff.
- Oversee family communication systems including a monthly Family Newsletter, maintaining updated family contact information, and managing texting communication platform.
- Oversee the completion of fingerprinting processes for long-term program volunteers.
- Help organize and maintain SEO Scholars Miami shared files in Box and Google to ensure efficiency and effective data tracking.
- Continually assess and improve operational systems. This includes technology inventory and tracking systems, materials shipments, and emergency protocol systems.
- Perform other duties as assigned.
Program Event Logistics (20%)
- Plan and support logistical execution of all program events, including Scholar Orientation, college trips, graduation, Career Networking Day, and College Networking Day.
- Provide operational support for family engagement events such as parent/family workshops.
- Map and execute timelines for reserving building space, room reservations, end-of-semester auditorium space, and other requests as needed; Oversee program site emergency protocol operations and communication systems.
Partnership Development (15%)
- Support recruitment efforts; As needed, conduct regular outreach to recruitment partner prospects, sharing the benefits of the program and encouraging their support with Scholar cultivation.
- Support Executive Director with external communications to stakeholders.
- Develop and manage effective partnerships with external space providers including public high schools and post-secondary institutions. Continually develop best practices to maintain communication and goodwill with all partners and vendors.
- Serve as the key program liaison for all space and activity requests for programming.
Qualifications
- Bachelors’ degree required.
- At least 2-4 years of experience in program operations, preferably in a nonprofit organization.
- Experience working in program and data management, student recruitment, or educational programming.
- Excellent organizational skills, detail orientation, and ability to multitask and handle changing priorities.
- Highly adaptable and solutions-oriented with an ability to solve complex problems even when faced with resource limitations.
- Excellent interpersonal skills, strong work ethic, and high level of professionalism.
- Must be experienced and proficient in MS Office, Google Suite, and standard workplace applications like Zoom and Box. Knowledge of Salesforce, Canva, LMSs, and advanced reporting skills are a plus.
