The Junior League of Boston (JL Boston) is seeking a full-time, hourly Office Coordinator to assist with daily clerical, administrative, and communications duties including, but not limited to, the following:
Membership Administration
- Utilize a specialized platform specific to JL Boston for Membership and Organizational Administration
- Maintain member information in database
- Helps prepare mailings and presentations, including generating Excel lists, mail-merging to Word, and assembling final pieces for mail; creating PowerPoint presentations for member leaders
- Runs reports on membership as needed
Headquarters Administration
- Provides afternoon and evening time coverage, including answering phone and giving members and visitors access to building. Occasional weekend days may be required.
- Processes sales of League products and tickets
- Process mail and packages, including checks for deposit
- Oversees headquarters supplies, including office and kitchen supplies, and assists Operations Director as needed in procurement
Communications Administration
- Creates and implements League communications, including creation of content (e.g. Social media, newsletter, etc.), collateral organization, scheduling of internal and external communications.
- Supports the Operations Director and Members in Communications Planning
Event Support Administration
- Coordinates with member leaders in the planning and execution of League events, both at HQ and in the community
- Staffs events at HQ and in the community to support member leaders
Development Support
- Creates and maintains donor records involving data entry and records clean-up, with input and information from the Fund Development team.
- Donor cultivation activities, including tracking, generating acknowledgment letters and preparing “ask” mailings
- Supports the development and documentation of protocols to establish and nurture the donor network
Qualifications
- Minimum 2 years in an administrative / program coordinator or related experience
- Excellent interpersonal, communication, and organizational skills
- Professional phone and email manners
- Self-motivated and able to work independently and multi-task when necessary
- Advanced knowledge of Microsoft Office, including Word, Outlook, Excel, and PowerPoint
- Strong command of Canva, Mailchimp, and Loomly; or similar platforms with a desire to learn new platforms
- Demonstrated experience with database management systems
- Strong skills in data entry, maintenance, and organization
- Database proficiency required
- Team player with positive, professional attitude and the ability to interact with all levels of the organization
- Strong work and attendance ethic, attention to detail, and ability to manage both paper and electronic files are all a must
- References will be requested of final candidates, in addition to a CORI background check
This position will be scheduled to work approximately 40 hours a week at JL Boston headquarters in Back Bay, Boston. This is a full-time position with no benefits or overtime.
