Job Summary:
The Tenant Services Coordinator is responsible for providing support to the building management team to assist in achieving the management goal of maintaining the Property in accordance with the established standards, while providing quality service expected by Class A building tenants.
Essential Functions:
- Responsible for tenants’ concerns, correspondence, services, activities, etc.
- Handle tenant requests and concerns.
- Prepare mail merges for building tenants, including distribution of such documents.
- Coordinate tenant special events with Assistant Property Manager.
- Order suite signage.
- Type letters, memos, lists, contracts, reports, etc. for management staff.
- Prepare purchase requisitions for signature.
- Prepare tenant rebills and research tenant inquiries.
- Office equipment maintenance including computers, copiers, etc.
- Maintain office supplies.
- Order forms and stationery for office.
- Maintain after-hours access requests and calendar for contractors and tenants.
- Assist in input of budgets and prepare budget backup for administrative numbers.
- Maintain all accounting and chronological files.
- Maintain electronic directories.
- Answer incoming calls.
- Assist in the preparation of statistical and narrative reports, tables, charts, and graphs.
- Prepare quarterly newsletter to tenants.
- Coordinate annual tenant satisfaction surveys.
- Maintain Certificates of Insurance.
- Maintain filing system (leases, service contracts, etc.)
- Assist with service contract RFPs and vendor management.
Supervisory Responsibility:
None.
Physical Demands:
This is a largely sedentary role that requires walking, talking, hearing, repetitive motion using a keyboard, and visual acuity for reading and viewing a computer monitor.
Travel:
No travel is expected for this position.
Education and Experience:
- Bachelor’s degree preferred.
- Minimum five years administrative or professional experience, preferably in a property management office.
Additional Eligibility Qualifications:
- Proficient in MS Office.
- Knowledge of SharePoint and Teams a plus.
- Excellent interpersonal skills.
- Excellent written and verbal communication skills.
- Excellent organizational skills, ability to prioritize, and attention to detail.
- Ability to manage time and multiple projects efficiently and achieve the required results.
- Ability to define problems, collect data, establish facts and draw valid conclusions.
- Knowledge of Yardi a plus.

Salary Range for Seattle, WA:
$64,000 to $72,000 per year plus discretionary bonus
