Job Description
Overview:The Cornell Real Estate Council, (“CREC”) a volunteer-led non-profit organization with over 3,400 members (mostly Cornell University alumni and current students), is seeking a dynamic and detail-oriented Chief Administrator/Program Coordinator (“CAPC”) to support our diverse and fast-paced operations. The role is part time, with variable hours, and the compensation is flexible, determined by the experience level and performance of the candidate. The ideal candidate will be located in or near New York City, to be able to periodically (e.g. once or twice per month) come into the NYC midtown office to interact with leadership. Since CREC is headed by volunteers, many of whom are leaders in the real estate industry, management of CREC requires the CAPC candidate to be a well organized, good communicator who can orchestrate multiple tasks and sometimes “herd cats” to maintain progress and help CREC more efficiently fulfill its mission. The ideal candidate will possess three critical competencies: 1. exceptional organizational skills and attention to detail, vital for managing various tasks including event coordination and member engagement; 2. strong communication abilities, both written and verbal, to effectively connect with members, leadership, and external stakeholders; and 3. proficiency in technology and social media, essential for maintaining our digital presence and communications. Coupled with a strong interest in real estate, these skills are foundational to driving the success and efficiency of CREC.
Hours and Compensation:
The CAPC position is virtual; candidate may work from a remote location. As a part-time position, hours will vary week to week, but will typically average 10 hours per week, with greater hours, in the range of 20 hours per week, for the 2-3 weeks leading up to CREC’s annual Fall Conference. Ideally candidate will live in the NY/NJ/CT area such that they are able to commute to and work in our Midtown Manhattan (New York City) office several days a month to enable face-to-face coordination with CREC senior leadership. For the ideal candidate this requirement can be waived.
Although compensation will vary based upon experience and skill set, to provide guidance we have advised that prior CAPC members have been paid $50 per hour as independent contractors. Pay is reviewed at least annually and periodic bonuses will be considered for exemplary behavior.
The following section describes the CAPC role and responsibilities in greater detail:
Leadership and Membership Coordination:
· Act as the primary liaison between the Board of Directors and CREC members.
· Efficiently implement strategies and directions set by the Board.
· Coordinate with CREC’s Advisory Board (another leadership group that coordinates with, and expands the reach of the CREC Board), and various Subcommittees, ensuring seamless collaboration.
· Oversee and manage student and young alumni intern assignments, including processing timesheets and project tracking.
· Provide robust support to leadership teams across multiple CREC initiatives, such as CREC Women, CREC DEI, Career Advisory Program, and Regional Chapters.
Event Planning and Execution:
· Lead the planning and execution of CREC’s flagship Annual Conference and other significant events, both on-campus and remotely.
· Collaborate closely with Conference Co-Chairs and Planning Committees for event organization.
· Manage relationships and contracts with various conference-related vendors, including graphic designers, photographers, caterers, and award suppliers.
· Oversee the distribution of marketing materials across multiple channels and track sponsorship engagements.
· Handle the logistics of event contracts, marketing strategies, and programming assistance in collaboration with on-campus representatives.
Accounting and Financial Management:
· Conduct bookkeeping activities, including year-end bank statement reconciliation.
· Coordinate with external accounting firms for 501(c)(3) filings and compliance reporting.
Administrative Excellence:
· Schedule and organize Monthly Board Meetings, including agenda preparation and transcription of meeting minutes.
· Maintain meticulous records of the organization’s activities and documents.
· Undertake additional projects as required, providing ad hoc administrative support.
Technology and Social Media Enhancement:
· Oversee and update CREC’s website, collaborating with CREC's Social Media and Content Manager as needed.
· Draft and disseminate the quarterly CREC newsletter and blog posts in collaboration with CREC's Social Media and Content Manager as directed by the Board.
· Regularly update the website with current information related to leadership changes, conference announcements, and other dynamic content.
· Support CREC's Social Media and Content Manager, as needed, to manage and monitor CREC’s social media presence across platforms like Facebook, Instagram, and LinkedIn, including LinkedIn Regional Chapter groups.
Membership Engagement:
· Keep track of membership statistics and trends.
· Craft and distribute the quarterly membership newsletter.
· Address and respond to member inquiries and communications.
· Collaborate with on-campus student organizations for strategic marketing efforts.
Qualifications:
· Strong organizational skills with attention to detail.
· Excellent communication and interpersonal abilities.
· Experience in event planning and coordination.
· Familiarity with basic accounting principles.
· Proficient in using social media platforms and website management.
· Ability to work independently and as part of a team.
