Purpose of the Role
The role of a Marketing Coordinator supports the marketing team by managing various administrative and project-based tasks. This position ensures that marketing campaigns are executed smoothly, communications are efficiently managed, and marketing materials are consistently updated and aligned with the STS brand. The Marketing Coordinator also facilitates collaboration with internal teams and external vendors to deliver high-quality marketing content.
Responsibilities:
- Responsible for facilitating and updating Teasers and Confidential Information Memorandums (CIMs) to ensure accurate and compelling content and verify that request has been met.
- Efficiently manage the group mailbox, ensuring timely responses and proper organization of communication.
- Collect and execute monthly updates for Deal Summary working with the content manager and graphic designer. Deploy reminder emails and obtain relevant approvals.
- Pull relevant distribution lists and input content into Mailchimp templates for various communications, including thought leadership, webinar invites, Deal Summary, and internal newsletters. Test and deploy effectively.
- Take comprehensive meeting minutes during internal calls and manage action items using project management software Monday.com. Book follow-up calls and team meetings when required.
- Take ownership of Monday.com, ensuring deadlines are set, and items are progressing as planned for all marketing team members. Act as a key point of contact for the platform.
- Collaborate with the graphic design lead to facilitate updates and changes to marketing collateral, ensuring alignment with the STS brand.
- Maintain organized file management systems, set up job bags, and serve as a record keeper to promptly retrieve reference materials when required.
- Generate and present monthly reports, summarizing KPIs, key metrics, and insights related to marketing activities.
- Manage all inbound invoices ensuring prompt payment and record on Monday.com in order to pull monthly reports to track against annual budget.
- Assist with administrative tasks related to onboarding of new STS team members, including the development of bios, headshots, business cards, and other necessary materials.
- Collaborate in the development of graphics, such as social media content and greeting cards, using tools like Canva when required.
- Assist in managing external websites by adding new blog post content via WordPress and other basic updates. Liaise with IT when larger updates are required.
- Responsible for collecting information from stakeholders and associated approval to produce and distribute a monthly internal newsletter.
- Work with third-party vendors, graphic designers, and videographers to coordinate the creation of corporate, sales, and event-related materials.
- Prepare and submit quote requests for print collateral and event materials (branded items), seek approvals, send files with shipping info; manage invoicing, payment, and recording in Monday.com.
Requirements and Skills
- Proven experience in a fast-paced and results-driven environment.
- Proven experience in working effectively both independently and as part of a team.
- Very strong command of English language; writing and editing skills.
- Exposure to the financial services sector would be advantageous.
- Familiarity with project management tools, ideally Monday.com.
- Familiarity with marketing platforms and tools, including Mailchimp, Canva, and WordPress, to assist with graphic development, website updates, and eNewsletter management.
