Summary
Assist with the administration of the firm’s global benefits and well-being programs. Maintain working knowledge of all health and welfare and retirement plan eligibility and enrollment requirements. Serve as key team player in interface with attorneys and staff in all US offices by playing a lead role in responding to inquiries including management of the benefits email box.
Duties and Responsibilities:
- Oversee the Expatriate Health, Dental, Critical Illness and Accident Insurance programs including processing enrollment changes and monthly invoicing and reconciliation.
- Review and approve all submitted Workday Benefits enrollment tasks and assist with any annual system updates and testing that may be required. Follow up with stakeholders as necessary.
- Manage COBRA administrative process and act as liaison with third party administrator to ensure timely enrollment processing and premiums collections and remittance to the firm.
- Interface and communicate with attorneys and staff of all levels in verbal and written format to educate them on the firm’s programs as well as to resolve all benefits issues that may arise.
- Interface with all levels of insurance carriers to ensure delivery of electronic eligibility files and resolve any issues.
- Assist with benefits policy renewals for all international offices.
- Provide support to the firm’s well-being initiatives by acting as a liaison with wellness vendors to coordinate programming, vendor needs and wellness fairs including the Annual Flu Shot program.
- Assist with the development and maintenance of the benefits and wellness intranet creating innovative opportunities to market benefits and wellness programs to the firm.
- Assist with wellness communication coordination, liaising with the marketing department and DEI for the newsletter, and other firm wellness communication.
- Coordinate and deliver benefits onboarding for Staff & Associates as well as exit interviews for departing employees.
- Manage processing of ad hoc vendor invoices and payments and maintaining records to aid in the annual budget preparation process.
- Evaluate and review existing processes to make recommendations to improve operational efficiency.
- Assume additional responsibilities as assigned.
- Uphold high standards of confidentiality, discretion, and integrity, particularly with respect to all sensitive and/or confidential firm and client information to which this position will have access.
Qualifications:
- 2-4 years benefits administration experience required.
- Strong working knowledge of Microsoft Office Suite and Workday HRMS (or similar HRMS software) preferred.
- Strong attention to detail, excellent oral and written communication skills and successful time management track record.
- Ability to work effectively independently as well as in a team environment.
- Bachelor’s degree preferred.
- Timely and regular attendance.
Status: Exempt
Workplace Type: Hybrid (position requires a weekly on-site presence of 1-3 times per week, depending on business needs).
Salary range: $75,000 - $106,000 depending on experience
