Position Summary:
We are seeking a highly organized and proactive Chief of Staff to support the Conscious Wealth Team and the President. This role demands exceptional organizational skills, a detail-oriented mindset, and the ability to handle projects from initiation to completion with minimal oversight. The ideal candidate will be a collaborative team player with a proven track record of supporting leadership teams in dynamic environments.

We are seeking someone with a vision who will help us build out our brand; creating a platform that integrates health, wellness and financial wealth. Objectives & Responsibilities
Project Management:
- Chief of Staff:
- Serve as the central point of contact for cross-functional projects, ensuring alignment across teams.
- Provide updates on initiatives to the President and other stakeholders.
- Lead and execute strategic projects from start to finish, ensuring timely and budget-conscious delivery.
- Support ad-hoc projects, such as event planning, internal initiatives, or client-facing program logistics
- Support Team:
- Handle sensitive information with confidentiality and professionalism
- Prepare and organize materials for meetings, providing strategic context with notes from prior discussions.
- Take on additional tasks as needed to support the President and Conscious Wealth Team effectively.
Marketing:
- Coordination of multiple firm communication strategies
- Develop and manage a cohesive communication plan to ensure consistency across platforms.
- Oversee the creation and distribution of a professional monthly newsletter, including content development, design, and analytics.
- Coordinate all aspects of monthly video production, including scripting, filming schedules, editing, and publishing.
- Collaborate with team members and guests to align messaging across newsletters, videos, and other communication channels.
- Content scheduling
- Create and maintain a detailed content calendar to plan and track posts across platforms.
- Schedule and optimize content for Instagram, LinkedIn, and YouTube to maximize audience engagement.
- Use analytics tools to monitor performance and adjust scheduling strategies to improve reach and engagement.
- Coordinate with internal teams to ensure timely delivery of content for scheduled posts.
- Lead development and implementation of marketing campaigns
- Design creative marketing campaigns aligned with firm goals and target audiences.
- Analyze campaign performance metrics to assess success and identify areas for improvement.
- Website Management
- Update website content regularly to reflect most recent content.
- Ensure the website is user-friendly and optimized for SEO.
- Monitor website analytics to track visitor behavior and identify areas for improvement.
- Coordinate with designers and developers for technical updates or redesigns.
Administrative Support:
- Calendar Management
- Maintain and manage the President’s calendar, including scheduling, coordinating, and adjusting as needed.
- Provide daily updates to the President on business and personal schedules, ensuring preparedness for all commitments.
- Correspondence and Documentation:
- Draft, proofread, and edit correspondence and documents for accuracy and clarity.
- Manage incoming communications, prioritizing emails and tasks based on urgency.
- Monitor company inbox for new opportunities and outreach.
- Travel Management:
- Coordinate domestic and international travel arrangements, including flights, transportation, accommodations, and detailed itineraries.
- Proactively address potential logistical issues.
Preferred Skills & Qualifications:
- Bachelor’s degree.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Google Workspace.
