The Opportunity
We are looking for a Board Liaison & Operations Associate to join our team and support our organization by undertaking day-to-day administrative tasks, supporting board meetings, and assisting with managing the operations of the office.
In this role, you serve as the main coordinator across the three City Advisory Boards (CAB) and SPUR's Board of Directors and provide scheduling support to the Chief Policy Officer. Ultimately, the Board Liaison & Operations Associate will work with various departments across the organization to ensure all administrative and operational tasks are completed as needed. The Board Liaison and Operations Associate will ensure the smooth running of the office and help to improve organizational procedures and day-to-day operations.
The role is a great fit for someone who is a generalist, likes working in teams, has excellent organizational skills, and can be responsible for several administrative duties across several departments within an organization. The role will report to the Chief Policy Officer and work in close partnership to the Executive Assistant to the President & CEO/Operations Manager.
Core Responsibilities
Support to the Chief Policy Officer (25%)
- Manage the calendar for Chief Policy Officer, including organizing large meetings with external participants
- Occasionally support in organizing, convening and managing task forces, workshops and other high-impact convenings
- Track, draft, coordinate and submit grant reports with guidance from development staff
- Input and manage grants information within SPUR's Salesforce system
- Complete all necessary administrative tasks efficiently and on time as assigned, including, but not limited to: organizing and creating data collection systems for writing and reporting purposes, providing monthly grant and contact activity reports and updates, writing thank-you letters, staff notification, contract signing and filing
- Draft monthly policy summaries for SPUR newsletter and board reports
Board & CAB Liaison (50%)
- Serve as liaison for the SPUR Board of Directors and the San Jose, San Francisco and Oakland City Advisory Boards, responding to Board & Advisory member inquiries, as needed
- Serve as liaison for the Nominating & Governance Committee during its annual recruitment cycle
- Prepare agendas and meeting packets with input from CPO and EA to the CEO
- Schedule and handle meeting logistics, from Zoom administration to setting up tables, chairs, A/V, and refreshments for in-person and hybrid Board of Directors and City Advisory Board meetings
- Take minutes and keep records as needed for each meeting (i.e, attendance)
- Ensure contact information databases for Board & Advisory members are up to date, including Board Roster, website, email list, and Google calendar, etc.
- Support the facilitation of new Board & Advisory Member orientation and training
- Support Annual Board Retreat planning and logistics
- Provide other support of Board & Advisory members as needed
- Be well versed on SPUR's Bylaws and Board & CAB Policies & Procedures and ensure that these documents are up to date
Operations & Office Management (25%)
- Ensure SPUR office spaces are organized and tidy
- Handle mail and email inquiries with proper judgement and route as needed
- Support in the set up and take down of in-person meeting space for meetings across departments; receive & greet guests for meetings and public programming events, donor events and other stakeholder events
- Be well versed on SPUR's AV system and Zoom rooms to support staff with set-up and troubleshooting
- Support staff with space rental requests and use of facility by others
- Maintain office supplies & snacks
- Other duties as needed
Key Qualifications
- Proven work experience as an Operations Associate or similar role
- Excellent communication and people skills
- Good organizational and multitasking abilities
- Problem-solving skills
- Ability to work under pressure and be agile
- Strong computer proficiency and experience with Salesforce database is beneficial
- 2 days a week in San Francisco minimum and travel to Oakland and San Jose for all in-person Board and CAB meetings and other meetings and events as needed
Benefits
The salary range for this position is $70,000-$80,000 and will be based on experience and commensurate with skills and qualifications. This is a full-time, exempt position. Hybrid Work Environment
At SPUR the health of our employees and their families is our top priority. SPUR has a hybrid workplace model defined by a combination of remote and in-person work. We have mandatory all-staff in-person days on Monday and Wednesday, and staff will be required to attend other in-person meetings, events, and programs around the Bay Area region as needed.
