Job Description
The Arts Commission’s Program Associate helps to support the Community Investments (CI) team to administer approximately $15 million in annual grant investments, conduct community engagement activities, and increase technical assistance and professional development opportunities for San Francisco artists, art vendors, arts organizations, and historically marginalized communities. This position principally supports the San Francisco Artists (SFA) grant for individual artists and the Art Vendor program.
Grant Administration
Support Senior Program Officers and Program Officers in coordinating and supporting all communications from the CI department, scheduling meetings, conducting site visits, and generating any associated documents and/or grants for FY25-27.
Provide support for the processing of 200-250, FY25-27 grant applications, eligibility checks, data entry, and the compiling of panel review materials. Submit 200-250 grant applications for panel review for each grant period.
Support the panel process by assisting in setting up city supplier accounts for 40-50 panelists and creating and submitting invoices for payment for FY25-27.
Provide support for the administration of new and open grants, including generating grant agreements, tracking required forms, encumbering funds, and processing invoices for 300-400 grantee organizations and artists for FY25-27.
Assist in the preparation of 8-10 presentations, including data collection and research for the SFAC staff, the public and other audiences for FY25-27
Provide logistical support for 15-20 meetings annually, including setting up room reservations, media equipment, catering, managing virtual meeting platforms, generating signage and other applicable materials for FY25-27.
Ensure that the department adheres to the current Records Retention Policy that requires that files are placed into storage/E-storage, scanning documents when necessary.
May perform other duties as assigned.
Art Vendor Administration
Maintain and update the FY25-27, 20-24 annual art vendor applications. Generate reports and review information for art vendor applications, panelist applications and/or past grant applications as needed.
Maintain and update art vendor program online FY25-27 lottery system and SFAC website current art vendors list of over 300 vendors. Create art vendor profiles in Salesforce and issuance of art vendor license, manage art vendor newsletter and provide communication support for the program.
Provide support for the preparation of documents for the FY25-27 Advisory Committee of Street Artists and Crafts Examiners and the Community Investments Committee, including posting agendas, taking minutes, and posting within the Sunshine Ordinance timeframe.
Work with Market Manager and the Art Vendor Advisory Committee, to schedule meetings, prepare screening materials including 20-40 art vendor applications, and 75-100 reimbursements.
Communicate with art vendors, Rec & Park, SFMTA, Port, Public works, and Recology surrounding Art Vendor Program, LAO requirement throughout FY25-27
