Responsibilities May Include:
- Perform operational tasks including answering and transferring phone calls, responding to emails, scheduling/confirming meetings, and receiving visitors
- Assist advisors with client meeting preparation
- Assist with coordinating client events
- Client outreach for scheduling virtual or in-person appointments
- Assist with organizing promotional items, including firm branding and advertising materials.
- Prepares, files and maintains electronic records and documents in required formats, including encrypted documents
- Maintaining prospect and client databases
- May assist with general office tasks such as copying, mailing, etc.
- Transcribing or taking notes during meetings and writing minutes, memos and / or agendas
- Sorting and distributing incoming mail and collecting and sending outgoing mail
- Create and update various excel reports, database projects, and other special projects
Preferred Skills and/or Experience:
- Advanced knowledge of Microsoft Office, particularly Excel
- Experience with marketing (email/newsletter communication, Canva, social media)
- Experience with bookkeeping software (Quickbooks)
- Two years plus prior experience in a front office, client-facing role
- Experience with client relationship or portfolio management software considered a plus

- Competitive salary paid semi-monthly – annual base salary range $45,000-60,000 dependent on previous experience and tenure.
