Job Title: Office Administrator 1
Job Duration: 6 months
Job Location: Charlotte, NC (Hybrid)
Job Responsibilities:
The office administrator role will provide crucial support for internal and external stakeholders associated with our DSO sales offices. They will partner with sales and operations teams to ensure a positive experience for our dealers and associates.
External Customer Support
- Submit Credit Applications and follow standard process for new dealer setup
- Submit and collect data for dealer sales concessions
- Maintain contact information for external communications
- Responsible for ordering literature and dealer merchandise
- Support Sales teams with marketing and promotion initiatives
- Organize and coordinate meetings, training, activities, events, and trips
- Provide assistance to dealers in various areas including but not limited to: Company warranty policies, sales plans, systems, and tools
- Create and publish monthly newsletter for dealers
- Manages dealer termination process
Internal Customer Support
- Create, manage, and reconcile purchase orders, p-card, travel, and event purchases
- Create and manage new vendor setups, when applicable
- Ensure vendors are submitting invoices on time and in alignment with standard process
- Responsible for ordering literature, office supplies, marketing material, and merchandise
- Coordinate access for employee attendance platform, (purely HR)
- Organizes Employee Wellness Programs and Health Screening Events
- Produce Daily Sales Reports
- Manage regional distribution lists
- Manage and organize training classes, (both internal and vendor sponsored)
- Manage credit application process
- Communicate company sponsored promotions to employees at the DSO
- Assist with local security support, (creation of badges, access codes, key fobs, etc.)
- Maintains local documentation, (inspection paperwork, certifications, etc.)
- Other duties as assigned by leadership
Qualifications:
- Associate degree or equivalent preferred
- 3+ years of administrative support work preferred
Key Competencies:
- Strong skills needed in the following areas: Written and verbal communication; Technology, including use of MS; Office (Excel, Word, etc.); Organization and attention to detail; Problem solving
- Ability to work well in a team environment
- Ability to develop relationships with both internal and external customers and provide a high level of customer service in a fast-paced environment.
