PVA North Central Chapter serves North Dakota, South Dakota, Southwest Minnesota, and parts of Montana and Wyoming.
Role Description
This is a full-time on-site role for a Director of Operations located in Sioux Falls, SD. The Director of Operations will be responsible for managing day-to-day operations, overseeing team management, planning chapter events, budgeting, and ensuring high levels of customer service.

General Function
The Office Manager & Administrative Coordinator provides comprehensive financial, administrative, secretarial, and clerical support to NCCPVA. This role ensures the efficient operation of the office, supports all NCCPVA programs, and serves as a primary point of contact to the Executive Director and members of the NCCPVA.
Key Responsibilities:
Financial Management
- Works closely with the Executive Director & Treasurer to oversee the organization's financial operations.
- Manages day-to-day financial transactions, including processing payments, maintaining custody of corporate checks, and overseeing financial records.
- Collaborates with auditors hired by the Board of Directors and makes recommendations to the Executive Director & Finance Committee regarding external audits.
- Reviews and approves or rejects invoices, reimbursement requests, and other financial obligations.
- Works with the bookkeeper to prepare monthly financial reports in the approved format for review by the Executive Director, Treasurer and Board of Directors.
- Provides financial recommendations to the Executive Director, Finance Committee and Treasurer as needed.
- Prepares the annual budget for review and submission to the Executive Director, Finance Committee and Board of Directors.
- Makes weekly or as-needed bank deposits.
Volunteer Coordination
- Works with the Executive Director, President, Program Managers, Volunteer Manager, and Board Members to recruit, support, and oversee volunteers.
- Requests volunteer assistance from the Executive Director & Board of Directors as necessary.
Office Administration & Reception
- Serves as the office receptionist, maintaining a professional and welcoming environment.
- Answers incoming calls in a courteous manner and directs inquiries appropriately.
- Sorts, date-stamps, and routes incoming mail.
- Maintains organized office records, files, and chapter manuals.
- Assists in drafting letters, reports, and other correspondence.
- Prepares and manages bulk mailings, including delivery to the post office.
- Operates standard office equipment and computer systems efficiently.
Communication & Events
- Coordinates the printing and distribution of the Chapter newsletter and other materials.
- Manages the office petty cash account and associated records.
- Submits grant requirements and ensures compliance with reporting guidelines.
- Organizes and oversees all Chapter fundraising activities.
- Plans and coordinates Chapter events, including fishing trips, hunting excursions, holiday celebrations, and other special programs.
Board & Governance Support
- Maintains and records minutes for all Chapter meetings.
- Performs additional duties as assigned by the Chapter Executive/GRD Director and President.
Compensation & Benefits:
Probationary Period (First 90 Days)
- Hourly Rate: $31/hour
- Schedule: Tuesday – Friday, 9:00 AM – 3:15 PM (6.25 hours/day)
Post-Probation (Salaried Position):
- Starting Salary: $52,000 annually
- Schedule: Monday – Friday, 8:30 AM – 4:00 PM (7.5 hours/day)
- 401-K match of 2%
- Personal Leave Accrued Monthly: 11.25 hours
- Sick Leave Accrued Monthly: 7.5 hours
