Duties Description General Office Duties
Incoming mail distribution, scanning, photocopying and word processing. Assist with Game Management Section's mailings including folding, stuffing, and mailing large-volume annual mailings and survey. Maintain inventory of supplies and materials and place orders as needed.
Communications
Respond to daily inquires from staff and the public while assisting with monitoring the wildlife email in-boxes; reply to emails from the public as needed. Handle high volume phone calls from hunters and license issuing agents regarding license issuance, hunting seasons, and game harvest reporting. Also retrieve messages from voicemail and return calls regarding hunting-related issues. Assist the Wildlife Communications Coordinator with social media posts and a bi-weekly electronic Hunting and Trapping Newsletter.
Purchasing and Fiscal Management
Place orders for supplies for office staff, as needed. Assist with paying invoices, reconciling credit card changes, and tracking expenses.
Data Entry
Use, maintain, and enter large amounts of data in spreadsheets and shared databases (Microsoft Access, Excel, etc.) Assist with the Section's survey scanning and editing survey forms: sort, batch, and scan survey forms (approximately 500-14,000 envelopes with multiple inserts); edit survey forms using Teleform Verifier software.
Collaborate
Collaborate with other Section staff to plan and implement activities to foster a positive and cooperative work atmosphere.
Minimum Qualifications There are no minimum education or experience requirements for this title.
Preferred Qualifications
Strong written and oral communication skills and prior experience with both.
Organized and capable of multi-tasking.
Experience with handling phones and emails on topics regarding New York's wildlife.
Additional Comments This is a hourly appointment currently funded through 3/31/2025, with a likelihood of continuing beyond that date. Program needs and funding will determine actual termination date.
