This position plays an integral role in the day-to-day operations for the office of the CEO sitting along side our team in the Dallas Office. Serving as the primary point of contact and gatekeeper, this position is responsible for managing multiple calendars, expense reports, travel logistics, and other special projects as needed. This position interacts directly with other senior leaders, employees, and clients. In addition to traditional executive assistant responsibilities, you will also be responsible for curating, creating, and distributing weekly newsletters to keep our internal and external stakeholders informed. Moreover, you will leverage your video editing skills using CapCut to enhance our visual content.

Qualifications

6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Excellent verbal, written, and interpersonal communication skills
Professional and/or personal experience working with CapCut
Ability to perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
Detail-oriented with a keen eye for design and content.
Ability to work independently, prioritize tasks, and meet deadlines.
High level of discretion and professionalism.

Essential Duties and Responsibilities

Manage multiple calendars and proactively troubleshoot potential conflicts
Collect relevant content and updates from various departments for weekly video newsletter
Edit and produce videos using CapCut for internal and external use & enhance visual content to make it engaging and informative.
Book domestic and international travel for extensive itineraries (multiple time zones, multi-city visits, etc.)
Coordinate all internal and external meeting logistics (booking spaces, securing ground transportation, ensuring meetings are executed efficiently)
Organizing events, daily lunches, and office activities
Ensure the executive is prepared for all meetings, collect necessary briefing materials ahead of time from various contributors.
Submit weekly expense reports
Screen emails and communicate relevant messages
Take notes for key meetings at the request of the executive
Anticipate and prepare materials needed for conferences, correspondence, appointments, telephone calls, etc.
