Job Description BAE Systems is hiring an Administrative Assistant to support our Program Director within our Combat Mission Systems (CMS) business in York, PA. Under limited supervision, performs a variety of complex administrative duties for the Program Director and the Program Management Team. Acts as an information source on organizational policies and procedures; gathers, compiles, and reports information relevant to a given assignment; participates in planning of functions; administers organizational correspondence control; and provides assistance to department members.
Location/Schedule/Travel:
This role will be based out of York, PennsylvaniaThis is a Remote/Onsite Hybrid role where you can work from home 2 days each week and go onsite 3 days each weekThis position will work on a 9/80 schedule where you will have every other Friday offThis role will require <10% of travel
Responsibilities
- Coordination and management of AMPV program meetings to include updating slides such as, an overall monthly calendar of events, PTO, and Customer engagement, ensuring slides are posted timely ahead of leadership reviews
- Lead coordinator for York based events (USG Meetings, AMPV Employee Events, Audits, etc.)
- Ensure conference rooms and team rooms are set up and meetings are ready ahead of the start time (meeting started, TV/Owl on, etc.)
- Coordinate meetings to ensure a conference room/onsite location is included for group meetings on Core Days
- Assist with ordering of swag/marketing materials for the AMPV team
- Work with Communications Lead on coordinating events, distributions (vertical slices, all hands, etc.)
- Drafting meeting minutes and capturing and tracking action items to completion from key meetings such as Top 3, SIG, and quarterly Leader Huddles
- Calendar/Outlook Management for Deputy Director
- Booking of travel and completing of expense reports for Program Deputy Director and York based Program Managers in a timely manner
- Assist with managing overarching program files on Teams/Share Point
- Maintain the AMPV Email Group for AMPV newsletter/update emails
- Create and manage AMPV War Room 43-185 meeting calendar
- Order supplies for the Deputy Director and York based PM team
Required Education, Experience, & Skills
- High School Diploma/GED and 4 years of relevant experience or equivalent experience
- Experience in Administrative Assistance
- Experience in Calendar Management, Meeting/Event Scheduling, and Travel Coordination
- Experience in SharePoint or other Enterprise Data Management Systems
- Experience in MS Office (Outlook, Word, Excel, PowerPoint), Microsoft 365, Teams
- Ability to provide support to the Program Management Team
- Ability to work in a fast-paced environment, multitask, and manage changing priorities
- Ability to manage, organize, and structure data to support reporting needs
- Ability to integrate information from a variety of sources into correspondence, presentation materials, or reports
- Ability to interact effectively with personnel at all levels, inside and outside of the organization
- Proficiency with word processing, presentation, spreadsheet, database, email, and calendar software
- Forward-thinking with problem-solving skills
- Attention to detail and time management skills
- Excellent verbal and written communication skills
Preferred Education, Experience, & Skills
- Associate’s Degree
- Certificate/Training in MS Office Products
- Experience in SharePoint, MS Project, Microsoft 365
- Experience in creating or improving data/file/report management processes/dashboards
- Experience in meeting/event coordination with 100+ attendees
- Experience in Defense/Government Contracting
- Ability to think ahead, anticipate needs, and proactively identify and resolve problems
Pay Information
Full-Time Salary Range: $54900 - $87800
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
