Job Description
JOB TITLE: Membership Coordinator
FLSA STATUS: Regular Full-Time / Exempt
REPORTS TO: Vice President of Communications and Membership

Position Summary
The Membership Coordinator is responsible for the day-to-day administration of CSWE’s membership function to include supporting membership engagement initiatives and coordination of member (both individual and program), customer, and prospect data within the association’s membership database management system. This position serves as the point of contact for program and individual membership questions, as well as any general membership questions. The incumbent will also be responsible for the invoicing, and at times, processing of membership payments.
Essential Duties And Responsibilities
Member Engagement and Service Functions
- Works with communications and membership team to set and meet membership engagement benchmarks and goals.
- Coordinate all membership communications templates.
- Responds to all general inquiries concerning membership issues.
- Coordinates annual program member dues invoicing process, including follow-up communications needed to meet payment deadlines.
- Coordinates full member activation processes and welcome kit.
- Coordinates generation of annual associate membership dues renewal invoices, receipts, reminders, and new member mailings.
- Assists members with access to member online services by providing them with log in procedures and related processes.
- Works with CSWE staff to ensure database and online member directory is up to date.
Data Administration
- Adheres to policies and procedures for membership data entry.
- Works in collaboration with appropriate staff members to ensure overall integrity of member information and prospect data through regular quality control checks; works with other staff to enter corrections, merge duplicate records, and update processes.
- Handles all membership data entry and signs off on membership receipt batches delivered by finance staff, ensures accuracy and consistency of member data records.
- Regularly runs database reports including membership/subscriber counts, membership invoicing, payments, statistical, financial and ad-hoc reports, monthly and as needed. Sets membership revenue budget.
- Verifies membership status of board, commission and council member records.
- Analyses membership data from year to year to look for trends and growth opportunities.
Other
- Supports membership data requirements and acts as primary staff contact for CSWE membership information at the CSWE Annual Conference.
- Provides membership support to the liaison to National Nominating Committee.
- Provide updated membership information to vendors serving members as needed (e.g. Career Center, newsletter)
- Performs other duties as assigned.
Qualifications
Qualifications, Knowledge, Skills
- Bachelor’s degree required.
- A minimum of 3 years of customer service experience required; Experience working with membership with a membership-based association is preferred.
- Demonstrated customer service orientation is required.
- Demonstrated proficiency and extensive membership database management experience required; experience using Protech or another Microsoft Dynamics CRM system preferred.
- Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, etc.) required.
- Proven query, analytical skills and report writing experience required.
- Excellent attention to detail.
- Effective written and verbal communication skills.
- Ability to travel 1-2 times a year.

ADA SPECIFICATIONS
This position is primarily sedentary and is performed in an office setting. The physical demands of this position are limited to the ability to lift up to 30 lbs. and bend, stoop, and carry materials.
