Job Description
The Data and Partner Systems Specialist is responsible for managing Sonoma County Tourism's (SCT) primary database systems including Simpleview. This position works to harness the full power of SCT’s database products by championing the usage internally and facilitating enhancements that create a more robust system. They will work to understand and use data contained within the databases to help power decision making with SCT’s core functions of marketing, business development, community engagement and public relations. This position also works to integrate other systems, such as Cision, Threshold 360, etc for maximum efficiency.
Essential Duties & Responsibilities
Duties include, but are not limited to, the following:
- Manage partner data used for communications, inspiration guide, map, website, app, meetings and weddings, and annual report across all departments
- Implement and enhance systems that utilize partner data such as Threshold 360
- Work with SCT partners to maintain updated business information in Simpleview and on the website. This may include communication with partners to help initiate or amplify listing inclusion in the database and/or presence in SCT materials.
- Conduct in-person and virtual trainings for the partners on the external partner portal and assist with listings for businesses, special offers and events as needed
- Assist each department to maintain and verify customer lists used for e-newsletter distribution and other customer outreach efforts
- Manage continuity of reporting and information in the system across all departments; provide training to new and existing team members on proper usage and data entry methods
- Create e-forms in different platforms (Jotform, Docusign, Adobe, etc) to meet the needs of different areas for both external and internal communications.
- Liaise with each SCT function to understand their database needs and provide education on how to best utilize the systems based on industry leading standards
- Create, maintain and facilitate standards for database information updates and communicate them throughout the organization
- Work with database vendors to create and streamline processes and improvements that increase efficiency, create greater customer engagement as well as partner ROI
- Provide database insights to Leadership team to help inform their projects
- Stay current on industry leading best database practices
- Provide support to VP of Finance of Operations as needed for internal reporting
- Perform annual audit of listings to ensure accuracy of information for website, map and inspiration guide
- Other duties as assigned
Required Education And/or Experience
- Education: Associates Degree from two or four-year college or university in Computer Science, Business Administration, Data Management or related field Bachelor’s Degree preferred.
- Experience:
- 3-5 years in database management, marketing or related field
- Database management, preferably with Simpleview
- Integrated technology platforms
- Office 365 including Excel and Data Visualization
- Google Analytics
Required Knowledge, Skills, & Abilities
- To perform this job successfully, an individual should have expertise in Microsoft Office Suite (Outlook, Word, Power Point, Excel). Must have an aptitude for learning new software programs and the ability to research and problem solve with new applications and systems for organizational needs.

- Strong interpersonal, communications and networking ability.
- Should be goal-oriented, reliable in meeting deadlines and well-organized.
- Excellent written and verbal communication and a high measure of excellence in both forms of communication.
- The ability to obtain a high degree of familiarity with Sonoma County’s tourism partner experiences.
