Office Manager & Administrative Assistant - Seattle
Bryant Christie Inc. (BCI) is accepting resumes for a full time or part time (minimum three days per week) office and administrative assistant for the firm’s Seattle office. BCI helps companies and industry organizations eliminate trade barriers, develop new markets, and manage their international government affairs. The position would begin in December 2024 to allow for some overlap with the firm’s existing office manager who will be retiring at the end of the year. Responsibilities associated with the role generally include:
Office Management Responsibilities
- Front Desk duties (greeting clients, preparing conference rooms, phones and email)
- Processing incoming and outgoing mail (USPS/UPS/Fedex)
- Making and documenting bank deposits, verifying and forwarding invoices and financial statements to BCI’s Accounting Manager
- Supply management including office and break room supply, business cards and other print materials, conference and special project needs
- Coordinating BCI-paid staff lunch orders (first Monday of each month) and breakfast (third Monday of each month)
- Job posting, resume vetting, scheduling interviews, onboarding new staff, coordinating benefit management with BCI’s Accounting Manager
- Oversight of USDA Civil Rights training and compliance requirements
- Filing Lobby Disclosure Act quarterly reports, annual city/state certifications, medical benefit census information for annual policy renewals
- Corporate website management in coordination with senior management
- Point of contact with 6th and Lenora (Clise, Inc.) building management
- Point of contact with outsourced IT/phone/copier contractors for general troubleshooting
- Other ad hoc requests
Administrative Assistant Responsibilities
- Contract assistance to Executive Vice President/Chief Operating Officer and Vice President of Global Access
- Data entry and upkeep of the company’s CRM, internal phone, client and staff lists, physical and electronic file systems
- Monthly internal and external newsletter proofreading, formatting and electronic delivery
- Proofreading proposals, reports and other outgoing documents and maintaining adherence with BCI and client style manuals
- USDA online grant application uploads and submissions
- Travel, conference and meeting logistics (booking hotels and conference facilities, printing collateral, shipping trade show supplies)
- Other ad hoc requests
Position Requirements
Candidates should have a positive outlook, a professional presence, and must be comfortable working independently. Knowledge of MS Office applications, as well as general PC operations is essential. Knowledge of CRM systems is a plus, ability to pick up new systems is a plus. Candidates must also be able to multi-task to effectively balance the multiple responsibilities of this position.
This position requires at least 24 hours per week. Mondays, Wednesdays, and Thursdays are preferred but other options, including full time, will be considered.
BCI offers a public transportation subsidy for travel to its downtown Seattle office (6th and Lenora as of December 2). Full time employment is required for other benefit eligibility including medical/dental/vision and 401k retirement. Compensation is $26-$30 per hour DOE.
