Description
We are looking for a customer service oriented candidate with initiative to support day to day operations in an administrative role. Position will involve handling a variety of administrative tasks, preparation of reports, preparation of presentations, and filing of documents and correspondence. Maintains records and filing systems, enters data into systems and performs the administration of programs, projects and or processes specific to the Lexington site office. Emphasis on attention to detail is important. Position will require strong organizational skills and effective communications skills in order to work across organizational boundaries to engage employee participation in a variety of programs. Position will also support preparatory activities associated with the site activities including onboarding, general office and internal activities. A flexible schedule is needed to meet deadlines as required and to support a variety of events and workshops. Job responsibilities may change as business needs change. Position requires full-time on-site involvement.
Notes: Initial need is 20 hours/week; role has the opportunity to transition to FTE based on performance and timing
Preferred Knowledge/Skills
Bachelor’s degree in business or communications preferred – experience may be substituted for degree

Responsibilities
Support of onboarding of new employees by tracking candidate progress, entering key system information, and ordering IT hardware
Ordering of office materials and other equipment to support facility start-up (clothing, supplies, hardware, etc.)
Collection and sorting of all incoming mail
Consolidation, printing, and distribution of weekly site newsletter – contributing to other existing communications channels such as electronic screens and internal social networks
Managing meeting room schedules, and coordinating meals and room reservations for meetings and workshops
Management of guest access to site and scheduling of key visits
Final review of information and presentations to share externally
