Job Description:
Reporting to the Director of Alumni Engagement, the Assistant Director of Student and Young Alumni Engagement (ADSYAE) provides volunteer management, programmatic and administrative support for the Office of Alumni Relations (OAR), principally through student-alumni and young alumni programming initiatives. in collaboration with the Director to develop goals, set strategies, and recruit and manage volunteers for programming that assists in the effective transition of current students to alumni citizenship. The ADSYAE creates, develops, and executes initiatives that connect students with alumni volunteers to enhance the student experience and strengthen retention through mentoring, career-related support, and community engagement. The ADSYAE also works with the director in support of young alumni engagement, particularly the management of the DC Young Alumni Chapter (YAC). The YAC is made up of a board of volunteers charged with developing and executing social, cultural, service, and professional events and working with other affinity groups to create meaningful programs to enrich the lives of graduates of the last ten years.
The ADSYAE may work closely with divisional and cross-divisional units including, but not limited to, the Directors of Development, the Office of Campus Life, the Director of Multicultural and Affinity Engagement, the Director of Alumni Outreach for School and Career Programming, the Associate Director of Regional Alumni Outreach and the AU Alumni Board and chapter leaders to enact programs and service.
Essential Functions
- Lead planning and implementation for current student-alumni programs including, but not limited to, alumni dinners, alumni speaker events, welcome week programming, graduation fairs, AU Founders Day activities, a student-alumni newsletter, and graduating student events. This includes volunteer recruitment, training and stewardship for pertinent programs, event and program management related to this area, and the administrative and marketing responsibilities for these programs. Collaborate with volunteers to plan and coordinate student-alumni events. Assess and market existing programs and events and seek out possibilities for additional programs in partnership with other initiatives. Manage all data surrounding student-alumni engagement. Provide administrative support for student and young alumni programs and volunteer meetings, including working with vendors and colleagues to confirm event details; creating nametags, programs, and agendas; updating AU systems for correct contact information; and providing general planning and follow-up support for events.
- Advise the DC Young Alumni Chapter. Recruit and retain volunteers. Lead regular meetings and programmatic planning sessions. Develop and review event proposals. Provide all administrative, marketing, and communication support to execute events, including social, athletic, service, holiday, and professional development events. Manage all communications, social media and website outlets, budget, giving rates, and general data for the YACs.
- Actively build and maintain a volunteer leadership pipeline. This includes leveraging volunteer recruitment strategies to ensure a robust pool of potential student and young-alumni volunteers, while also working with current volunteers; intentional onboarding and training for volunteers that articulates the possible breadth of the volunteer experience; coding and tracking volunteers in the database and on existing dashboard; and stewardship of current and former volunteers.
- Liaise with campus partners to coordinate alumni engagement through student experience affinity-based reunions and senior days with athletics. Assist in relationship management efforts between the Office of Campus Life and the Office of Alumni Relations. Liaise with student organization leaders (Student Government, The Eagle, Kennedy Political Union, etc.)
- Write, edit, and organize various communication mediums, including relevant Alumni Association web pages, the Alumni Update newsletter, the alumni listserv, and any other communication vehicles geared towards current students and alumni. Create and send e-mail blasts to constituents about upcoming events and future student-alumni initiatives.
- Perform other duties to enhance the mission and goals of OAR and DAR including all-hands-on-deck programming, data development and execution, programming committee support, and event page, email, and web page support.
Supervisory Responsibility
- This position reports directly to the Director of Alumni Engagement. This position may supervise student and/or part-time staff.
Position Type/Expected Hours of Work
Salary Range
- $26.47-$32.98 per hour, commensurate with experience.
Required Education And Experience
- A minimum of 2-4 years of successful experience in alumni or donor relations for educational institutions or non-profit organizations.
- At least one-year of experience in volunteer management.
- Ability to independently formulate long-range objectives, and manage varied programs and services.
- Ability to set priorities, meet deadlines and work independently.
- Demonstrated organizational and decision-making skills with follow-up abilities.
- Mature and professional attitude, customer/client focus; highly developed interpersonal skills; energetic and detail oriented.
- Clear, concise reporting and writing style Computer literacy, particularly MS Word and Excel.
Preferred Education And Experience
- Bachelor’s degree or the equivalent in training or experience is preferred.
- Intercultural communication skills or a level of intercultural competence preferred.
Additional Eligibility Qualifications
- Availability to work some nights and weekends, occasional domestic travel may occur.
