BILINGUAL SPANISH/ENGLISH PROGRAM COORDINATOR

Salary range: $50,960 to $54,600 $28 – $30 per hour based on experience

Summary: The Northampton Survival Center seeks a self-assured and experienced bilingual program professional to provide comprehensive care and support of our clients The position includes primary responsibility for the intake process, managing resource and referral information, compiling various reports, and maintaining a calm and welcoming environment for clients. The Program Coordinator is the initial point of contact for clients, working to ensure that the Center is meeting the needs of all those we serve in an atmosphere of dignity and respect.

ESSENTIAL FUNCTIONS
Client Care and Pantry Atmosphere
• Primary point of contact for clients fielding client phone calls, performing initial intake over the phone, helping clients determine which mode of distribution is best for them, providing referral information over the phone, client outreach
• Maintain a calm and welcoming presence during grocery distributions
• Conduct client intake and maintain client database
• Implement rules of the pantry equitably
• Give particular attention to clients who need extra care and support
• Redirect occasional disruptive behavior with support from the staff team
• Facilitate the arranging of cabs
• Share in welcoming donors and volunteers and helping them as needed
• Collaborate with Pantry Manager in supporting volunteers working directly with clients
• Manage resource and referral information for clients including creating content for client newsletter, printed materials, and website materials and links; managing workshop programs and presenters
Administration
• Maintain the client database review and maintain data integrity, run reports
• Translate written materials into Spanish
• Pull data for monthly and quarterly reports
• Attend Client Advocacy Committee meetings, take notes, and coordinate refreshments
• Attend Food Bank and other organization trainings and workshops as relevant to improve services for clients and overall functioning of the Center
Staff Team
• Use computer platforms to communicate about pantry information
• Clearly and proactively communicate concerns/feedback about volunteers, clients, pantry procedures, and warehouse issues
• Embrace the cross-functional nature of the program department team, providing backup for other staff as needed and asking for support from other team members
• Be attentive to both volunteer and client experiences for possible improvements
• Collaborate with program staff regarding improvements to pantry and volunteer system
• Attend weekly staff meetings
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS
The Center is a fast-paced office environment The organization thrives with a dedicated, collaborative, and collegial staff who pitch in when needed to fulfill the mission of improving the quality of life for low-income individuals and families throughout Hampshire County.
The position primarily works indoors in a fairly climate-controlled environment with some time outside during grocery distribution and occasionally when assisting with grocery delivery The ability to lift 50 pounds is preferred Frequent computer work, typing, talking on the phone and in person, walking, standing, sitting, and carrying required.
EXPECTED HOURS OF WORK
• 35 hours a week
• The schedule is Monday 1130am-630pm, Tuesday-Friday, 9am-4pm There is a potential to shift an additional day to include weekday evening hours
• Work is performed at the Center, no remote work
TRAVEL
• Some occasional local travel for supplies and events, as well as outreach at other organizations in the Northampton area
QUALIFICATIONS
• Bilingual fluency in English and Spanish demonstrable ability to communicate professionally in English and Spanish both orally and in writing Proficiency in additional languages such as Haitian Creole, Arabic, or American Sign Language is beneficial
• At least two years of continuous work in office administration or program work
• High School diploma or GED required Bachelor’s degree preferred
• Fluency in MS Office including Word and Excel, with database experience
• Excellent interpersonal skills
• Excellent organization and time management skills
• Sensitivity to the needs of persons in crisis
• Ability to stay calm and focused during high-intensity situations
• Experience working in multicultural settings
• Familiarity and experience with Diversity, Equity, and Inclusion policies and practices
ADDITIONAL ELIGIBILITY REQUIREMENTS
• Must successfully pass a background check
• Must have reliable transportation, valid driver’s license and be comfortable driving the Center van
