A fast-growing financial planning firm in Tysons Corner, VA, is seeking a Client Service Associate. This role supports team members to ensure every aspect of the client relationship is impeccably managed. We seek an organized self-starter with a positive attitude, attention to detail, and a desire to exceed expectations. Prior financial services experience is a plus but not required. This is an in-office position located in a premium office space near The Boro in Tysons.
Position Summary
The Client Service Associate reports to the Director of Operations. Responsibilities include executing insurance, financial planning and investment paperwork for new and current clients, coordinating and preparing for review meetings, responding to inbound calls and emails, assisting with marketing efforts, client events, and social media, and communicating with clients to ensure a remarkable client experience.
The Client Service Associate must be able to manage multiple tasks simultaneously while maintaining professional poise and courtesy to clients and internal team members.
Responsibilities & Activities:
Supports Wealth Advisors:
- Schedules review meetings
- Prepares documentation for review and strategic planning meetings
- Confirms all upcoming client appointments
- Creates an extraordinary client experience
Client Onboarding and Service:
- Review client paperwork for accuracy and completion
- Data entry into respective systems and follow up with clients to ensure timely processing
- Prepares and processes client service paperwork
Client Appreciation Events:
- Assist with quarterly events such as wine tastings, golf outings, concerts, and open houses.
- Create invitations and ensure compliance approval.
- Book facilities and coordinate refreshments.
- Handle reservations.
- Coordinate speakers if appropriate.
- Manage the Client Event Checklist.
Marketing and Communication:
- Assist with the online client newsletter and occasional web and social media postings.
- Support Center of Influence marketing programs to CPAs, attorneys, etc.
Concierge Services:
- Coordinate cards, gifts, and random acts of kindness for clients.
CRM Management:
- Update Advisor 360° CRM with client details and workflows.
Performs other duties, special projects, and responsibilities, as assigned

Required:
- Extreme attention to detail, excellent organizational and time management skills.
- Ability to handle multiple tasks with precision simultaneously.
- Impeccable verbal and written communication, customer service, and problem-solving skills.
- Excellent attitude and a genuine interest in serving and caring for other people.
- Ability to work independently while also serving as part of a team.
Helpful:
- Previous event planning experience.
- Previous marketing, advertising, or public relations experience.
- Financial services industry experience.
