EXECUTIVE ASSISTANT TO THE PRESIDENT
Qualifications:
Established financial/legal firm seeks to fill Executive Assistant to the President position immediately. Full time with generous benefits. The successful candidate will have excellent speaking and writing skills, be professional in appearance and demeanor, detail oriented, have strong time management skills, and the ability to work independently. Legal or financial background preferred. Further qualifications detailed below. Professional and friendly office in the Carmel area. Candidate must pass background and credit check. Calendar and Time Management:
- Oversee the day-to-day organization of a fast-paced executive office.
- Greet clients and answer phones with courtesy and finesse.
- Gatekeeper for the President - schedule appointments and keep control of calendar by making the best use of time.
- Help manage the President's various community and educational obligations which include managing invitation responses, interacting with event planners and preparing meeting/event materials.
- Excellent follow up for outstanding and ongoing projects.
- Legal background in trusts and estates a definite plus.
Follow-Up / Time Critical Actions:
- Heavy letter writing (with direction) and phone contact with current and prospective clients.
- Redirect emails to appropriate team members as needed, respond to emails as directed.
- Track and follow-up on projects assigned to other team members to ensure timely responses and task completion.
Office Management:
- Manage contracts with outside vendors.
- Maintaining stock and order office-related supplies.
- Assist the President with client legal files and relationships.
- Take minutes during staff meetings / follow-up on action items.
Marketing:
- Manage client mailings / maintain client lists in excel database and proprietary software.
- Manage newsletter and holiday gift mailings.
- Assist with ad preparation and placement for marketing and brand building.

- Proficiency in Microsoft Office Suite and ability to learn proprietary software

Absolute Requirement:
The Executive Assistant will be required to sign a confidentiality agreement upon hire and may be asked to sign updated confidentiality agreements from time to time.
