Youth Haven is a Christian, non-profit organization that provides free services to disadvantaged youth. Founded in 1968 and not receiving state or federal funds, Youth Haven relies on donations. The organization operates multiple campuses across Michigan and Arizona, providing on-site programs year-round as well as extensive off-site programing through the mail and online.
Position Description
This position will primarily support the President & CEO in managing many of the operational aspects of Youth Haven. Specific areas include board meeting and event planning, volunteer engagement, staff hiring, and general administrative needs. The right candidate will need to have a professional demeanor, be extremely organized, and be able to multitask and prioritize assignments. This position requires strong verbal and written communication skills. While this position will require working from the Youth Haven office overall, working from home at times will also be possible. This schedule can be coordinated upon being hired.
Principal Responsibilities
- Assist with handling incoming business emails and phone calls
- Welcome visitors to the Youth Haven office
- Assist with maintaining the calendar of the president, including scheduling meetings and appointments
- Assist with maintaining a digital filing system for the President
- Assist with phone calls, emails, and letters on behalf of the President
- Assist with the hiring process of new staff. This includes evaluating applications, performing some initial phone and/or video interviews, and corresponding with potential candidates
- Assist with notes and cards that are sent on behalf of Youth Haven and the President
- Attend weekly leadership meetings; take minutes and prepare any documents as needed
- Assist with coordination of special events throughout the year
- Assist with coordination of volunteers for various needs throughout the year
- In coordination with the Director of Marketing and Communications, develop and maintain a regular staff email newsletter, updating the YH team with news and highlights of all that is occurring throughout the year
- Assist with coordination of and preparation for the Youth Haven board meetings
- Work on special projects at the request of the President
- Remain flexible and ready to help with other responsibilities as needed.
Qualifications
- Must align fully with Youth Haven's mission and values which can be found on our website at youthhaven.org
- Be a creative and engaging individual who can function well within a team environment
- 2 or 4 year degree from an accredited college or university preferred
- 2+ years of Executive Assistant or similar experience preferred
- Must have excellent verbal and written communication skills
- Must have a high level of attention to detail
- Must have strong organizational, follow-up, multi-tasking, and time management skills
- Must be willing to have flexibility in work schedule
- Must be very proficient and comfortable using computers and technology, especially with Microsoft Word, Excel, PowerPoint, and Google’s email, calendar and document platforms
- A basic knowledge of Adobe Creative Suite is preferred, especially InDesign and Photoshop
- Salesforce knowledge and experience is a plus
