This position contributes to the overall success of the Client Services department by providing administrative support to the team, by performing all assigned multi-level tasks and projects in a professional, timely and efficient manner. Reports directly to the Director of Client Services.
Responsibilities
Research, develop, and disseminate written communications in a clear and professional manner including presentations, emails, reports, SOPs, etc.
Create and distribute monthly Key Performance Indicator reports.
Work with spreadsheets, track data and maintain organizational charts.
Participate in various reconciliation projects, process improvements and special projects.
Support leadership with new hire onboarding by ordering computer equipment, badges and uniforms.
Craft content for the monthly department newsletter.
Oversee the show organizer survey distribution process.
Schedule Show Planning Meetings.
Assist with the preparation and management of the financial Month End Close Process.
Manage unbilled revenue by auditing the monthly show organizer unbilled invoice report.
Maintain departmental supplies inventory
Maintain confidential and sensitive information and files
Support events as necessary
Aid departmental personnel in completion of necessary department task and functions.
Performs other duties as assigned and deemed necessary of the position under the direction of the Associate Director of Client Services
Qualifications
Advanced working knowledge of MS Office Suite, including Outlook, Teams, Excel, Word, PowerPoint, Visio, and Forms.
Proficient project management skills.
Great oral and written communication skills.
High degree of professionalism and solid ability in delivering high quality customer service (Internal and External)
Ability to effectively listen to others, collaboratively share ideas, and communicate effectively throughout all levels of the organization.
Strong analytical and problem-solving skills
Must be extremely detail oriented and have a great sense of urgency.
Must have the ability to work independently while juggling multiple priorities at one time.
Demonstrated ability to effectively organize and prioritize work and handle multiple assignments to meet deadlines or requirements.
Ability to manage confidential and sensitive information.
Tradeshow, convention, hospitality industry or special event planning experience a plus
College degree preferred
Work Environment
Must be able to work under pressure and remain calm and professional.
