General Description

Be a part of the Water Quality Division (WQD) team and experience the WDEQ mission and vision. The Records and Data Management Clerk position provides high-quality records and office support to the WQD. By ensuring the access and preservation of administratively important records, this position conducts activities that support effective and efficient operations for the WQD and its programs.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.

  • Gather, examine, record, and maintain information in WQD’s records and data management systems.
  • Capture digital images of documents according to best practices and WQD specifications, performing quality control on digitized content.
  • Perform quality control, basic image enhancement, and editing of digital records.
  • Create metadata according to WQD specifications.
  • Troubleshoot basic problems with hardware, software, and image quality. Refer problems and ask questions of the supervisor as appropriate.
  • Ensure final documents are routed to appropriate locations for records storage to meet retention schedules.
  • Communicate effectively.
  • Track incoming mail using electronic document management procedures and tracking systems.
  • Assist with analyzing information for monthly dashboard reporting.
  • Establish effective working relationships with technical staff.
  • Answer phones and direct calls or take messages when needed.
  • Assist with training temporary clerical staff on an as-needed basis.

Qualifications

KNOWLEDGE:

  • Knowledge of scanning and imaging systems and procedures.
  • Knowledge of quality control standards for imaging.
  • Knowledge of data compilation and organization.
  • Skill in the use of scanners and image capturing software.
  • Knowledge of SharePoint and other electronic records management systems.
  • Strong skills in Microsoft Word and Excel; Google Docs; and Adobe systems.
  • Possess strong communication skills with attention to detail.
  • Possess strong time management skills.
  • Experience working in a team-oriented, collaborative environment, with the ability to work well with others.
  • Ability to demonstrate independent judgment and decision-making skills to ensure program requirements are met and procedures are followed.
  • Ability to deliver high-level customer service, both internally and to the public.

Education

MINIMUM QUALIFICATIONS:

Associate's Degree (typically in Records or Data Management)

Experience

0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician

OR

Education & Experience Substitution

2-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Technician

Physical Working Conditions

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
  • Must be able to lift up to 40 pounds with or without accommodation.
