Location: Tampa, FL (Hybrid)
Objective
Under the leadership of the Senior Director, Events supports and executes seamless planning of high-impact Chamber events.
Event Production
· Logistics Management: Oversees or assists with event logistics, including registration, database and attendance tracking, marketing and communications, A/V coordination, food and beverage, vendor relations, and on-site execution.
· Event Leadership: Manages the full production lifecycle for approximately 30 on-site and off-site events annually, including networking, business development, and women’s programming.
· Signature Events: Leads the planning and execution of two major Chamber signature events: the Women of Influence Luncheon and the Small Business of the Year Awards.
· Budget Management: Develops, manages, and tracks event budgets for all assigned events, ensuring financial efficiency and accountability.
· Content Development: Drives content creation for the Competitive Edge Series and women’s programming, ensuring engaging and impactful programming.
· Collaboration: Works cross-departmentally to align event objectives and support organizational goals.
· Special Projects: Assists the Senior Director, Events in coordinating the Chamber’s annual 3-day Benchmarking Visit.
· Documentation and Support: Maintains detailed process documentation, collaborates with staff and volunteers, and performs additional duties as assigned.
Committee and Volunteer Management
· Leadership Role: Serves as the primary Chamber Staff Liaison for the volunteer-led Women of Influence Committee, fostering collaboration and ensuring alignment with Chamber goals.
· Meeting Coordination: Oversees all committee meeting activities, including developing agendas, recording and distributing meeting minutes, and tracking attendance to ensure engagement and accountability.
· Communication Management: Creates and distributes a comprehensive monthly e-newsletter, keeping committee members informed and connected.
Position Requirements:
- Education: Bachelor’s degree or equivalent experience; CMP certification is a plus.
- Experience: Minimum of 5 years in event logistics and planning, including speaker outreach, coordination, and preparation; content development experience is a plus.
- Skills: Proficiency in Microsoft Office, and the ability to quickly learn Chamber database software and project management software. Strong verbal, written, organizational, and negotiation skills paired with exceptional customer service.
- Attributes: Demonstrates a strong sense of urgency, ownership, and work ethic. Capable of multitasking and thriving with minimal supervision while maintaining professionalism at all times.
- Flexibility: Must accommodate early mornings and evening work during the week as needed.
- Travel: Requires occasional out-of-state travel, approximately twice annually, to assist with planning and executing the Chamber’s annual Benchmarking Visit.
Relationships and Accountabilities
· Reporting: Accountable to the Senior Director, Events for supporting event planning and logistics.
· Responsibilities: Ensures the expectations of speakers, sponsors, venues, and vendors are met and effectively managed.
· Collaboration: Works collaboratively and positively with Chamber staff and volunteers to foster excellence, teamwork, dignity, and respect.
· Service Commitment: Upholds the Tampa Bay Chamber’s high-quality service standards by demonstrating proactive service excellence in interactions with members, visitors, colleagues, and all Chamber contacts.
