RUTH LILLY MEDICAL LIBRARY (IN-LIBM-IUINA)

The Ruth Lilly Medical Library serves all faculty, staff and students across all campuses.
Department-Specific Responsibilities
- Design, teach, and assess introductory library workshops.
- Create library instructional materials in a variety of formats, including videos, handouts, and online resources.
- Coordinate and support online library classes.
- Schedule rooms for instruction, assist with room set up, and provide technical support.
- Assist in the day-to-day activities of gathering and preparing service statistics for compliance and quality control.
- Assist with coordinating graduate medical education orientations.
- Serve as back up to the library's service desk as needed.
- Assist with coverage of the library's chat service and basic library questions such as citation verification, locating materials in the library, and referring in-depth requests to the appropriate librarian.
- Provide in-person, email, and telephone assistance with locating and using library resources as needed.
- Assist library liaisons with online reference guides (LibGuides) by maintaining and updating links and resources.
- Coordinate catering and manage logistics for library events.
- Manage logistical support for library lectures and special events (Once the Medical Education Building opens in July 2025, this position will be managing logistics and scheduling of weekly library events in the new building.)
- Operate independently in organizing details well in advance of events and managing last minute changes and addressing needs of guest speakers and university vendors.
- Work with the library's Marketing Committee to market library events through appropriate school, campus, and university channels.
- Provide administrative support for the Director, Associate Directors, and the Business Manager for operational processes.
- Submit website content to the Library Tech Team as requested for administration.
- Provide library meeting support (scheduling, taking minutes, etc.).
- Maintain and organize digital files and other library documentation in appropriate locations.
- Assist with the library newsletter and create flyers to promote library resources, services, and events.
General Responsibilities
- Handle and monitor library materials, including re-shelving, processing new material, restocking, and ensuring that all materials can be located quickly and easily.
- Evaluate condition of library materials and performs repair and preservation of library materials as needed.
- Assist faculty, students, and other patrons by answering phones and handling library-related issues, resolving non-routine problems related to library activities.
- Monitor library systems. Create and update basic records, maintain automated records, reviewing for completeness and accuracy.
- Collect and collate data, compile statistics, and use compiled information to prepare unit reports.
- Manage the cataloging of new items, perform audits of outstanding items, and/or inter-library loan materials processing.
- Oversee library department desk and provide training and direction for student employees working the front desk.
Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.

This position will start in our current building but will move to the new library space in the Medical Education Building in approximately July 2025. The person in this role may also be expected to share time in the current building and the new library space depending on staffing needs. The new IU School of Medicine Library will be at 16th and Senate, Indianapolis, Indiana 46202.
