The school is operated by Georgia Connections Academy, a nonprofit corporation, through a contract with Connections Academy of Georgia, LLC, to provide its educational program and other services. Job Description
The Business Operations Administrative Assistant
(School Year 2024 -2025) plays a critical role in supporting organizational efficiency through advanced administrative and operational tasks. This individual is responsible for managing communication with stakeholders, overseeing project timelines, coordinating travel and logistics, tracking budgets and legislation, and supporting inter-departmental initiatives. The role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced, dynamic environment. This position will report to the Operations Director under the immediate supervision of the Business Manager.
Key Responsibilities
- Manage communications with partner districts regarding billing and accounting inquiries.
- Provide outbound communication (phone, online chat, email) with various stakeholders to ensure clarity and resolution of issues.
- Coordinate and book travel and hotel accommodations for team members.
- Generate reports, collect school-specific forms, and track required documents to ensure compliance and accuracy.
- Monitor and manage internal funding buckets to ensure proper allocation and usage.
- Organize and control the management of project cost estimates, from initial estimate through final billing.
- Identify and resolve discrepancies in production billing.
- Maintain schedules for projects and reports to ensure timely completion.
- Organize resources efficiently to meet tight deadlines and deliver operational excellence.
- Proactively recommend improvements to workflows and processes.
- Serve as the liaison between departments to enhance performance and efficiency.
- Track legislation and ensure compliance with relevant policies.
- Create and disseminate the departmental newsletter monthly.
- Maintain inter-departmental communication to facilitate smooth operations.
- Prioritize and manage multiple projects simultaneously, ensuring quality outcomes.
- Uphold confidentiality and privacy requirements, including FERPA compliance.
- Perform additional duties as assigned.
Qualifications
- Education: Bachelor’s or Master’s degree (required).
- Experience:
- Proven experience in business management, accounting, or finance.
- Demonstrated ability to manage billing processes, payments, and general accounting.
- Experience in a business environment with management responsibilities.
- Skills:
- Proficiency with Microsoft Office Suite and web-based applications.
- Intermediate to advanced skills in MS Excel.
- Proficiency with Google Workspace (Gmail, Calendar, Drive, Chat, etc.).
- Strong reporting, auditing, and organizational skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Strong time management and prioritization abilities.
- Self-motivated, adaptable, and able to manage ambiguity.
- Strong interpersonal and customer service skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Other Requirements:
- Ability to travel up to 5% of the time for specific business needs.
