Communications Coordinator & Office Administrator
Full Time Position, 40 hours
JOB DESCRIPTION: This position combines Communications and Administrative duties. This individual is responsible for managing all internal and external communications for YPN ensuring its messages are consistent. It will also support YPN staff, particularly the Director of Advancement by providing World Class customer service through processing donations, answering phones, general front desk customer service, and data entry.
REPORTS TO: Director of Advancement
Communications Coordinator Duties Include:
- Executing YPN’s communications strategy incorporating public relations, marketing and social media.
- Overseeing the social media strategy for YPN ensuring it aligns with the mission of YPN.
- Keeping up to date with advances in social media technology and the latest social media platforms.
- Implementing communication plans to increase brand awareness and recognition for the organization.
- Maintaining relationships with key media stakeholders to secure and grow media coverage both online and offline.
- Developing and leading YPN’s internal communication strategy across the corridor.
- Copy, edit, proofread, and revise communications.
- Maintaining website design and operation.
- Maintaining YPN’s My Why Podcast, scheduling interviews, editing recordings and posting on platforms.
- Promoting products and services through public relations initiatives.
- Creating and delivering press releases, media relations content, newsletter content, social media content.
- Developing and communicating new story ideas, particularly about the participants we serve and how we support them.
- Managing, taking, and editing all YPN pictures of events, clients, staff, etc.
- Assisting in the planning and coordination of special events and activities designed to generate funds for the agency and enhance public awareness of YPN.
- Communicating effectively with staff, volunteers and members of the community.
Administrative Duties Include:
- Providing general administrative support for the Executive Director and Director of Advancement.
- Processing donations, including accounting procedures and acknowledgement correspondence.
- Being responsible for managing the front desk, including greeting visitors, answering phones, and maintaining a welcoming and presentable area.
- Being responsible for managing the office workroom, including monitoring supplies and placing orders as needed.
- Assisting with daily management of mail distribution.
- Providing general office support: light clerical work, copying, ordering, communicating with maintenance and other vendors, and keeping all office and building contact lists up-to-date.
Performance Responsibilities
- Ability to work 40 hours per week.
- Provides professionally written and verbal communications within the agency and community.

- Ability to lift 50 pounds.
- Is dependable in carrying out job responsibilities.

- Supports YPN through participation, promotion and/or planning of YPN events.
- Interacts with youth, families, volunteers, agencies, donors, and all other visitors of YPN in a respectful, strength-based manner.
- Other duties, as assigned.

- All other duties as assigned by agency needs.
QUALIFICATION/REQUIREMENTS: A BA in public relations, journalism, marketing, communications or similar area and experience is preferred. Experience in marketing and public relations is required. Experience in Canva, Word, Powerpoint, Excel, Wordpress, design software and strong writing and proofreading skills is required.
