Job Description: As an Office Coordinator at Spearfish Chamber of Commerce, you will play a vital role in supporting the daily operations of our organization. You will be responsible for a variety of administrative tasks that contribute to the efficient functioning of our Chamber of Commerce.

Responsibilities:

Office Management: Maintain office supplies inventory, organize office operations and procedures, and ensure the smooth running of day-to-day activities. General office upkeep and cleanliness. Answering phones and greeting people walking in.
Member Support: Assist members with inquiries, provide information about Chamber programs and events, and offer support with membership-related tasks.
Event Coordination: Assist in the planning, coordination, and execution of Chamber events, including but not limited to member meetings and networking events
Communications: Draft and edit correspondence, emails, newsletters, and other communications materials as needed. Helping with ideas and updates to the Chamber's website and social media platforms.
Database Management: Maintain accurate records of Chamber membership, event attendance, and other relevant data using our CRM system.
Administrative Support: Provide administrative support to Chamber staff and committees, including scheduling meetings, preparing agendas, and taking meeting minutes as needed. Assisting with newsletter mailing days, typically at end of month.
Financial Administration: Assist with basic accounting tasks such as processing invoices, reconciling expenses, and preparing financial reports.
Other Duties: Undertake additional tasks and responsibilities as assigned by the Executive Director or other senior staff members. Attendance to mixer and coffee social as well as other major chamber events throughout the year.

Qualifications:

High school diploma or equivalent; additional education or training in office administration is a plus.
Proven experience in an administrative role, preferably in a business or nonprofit organization.
Excellent organizational skills and attention to detail.
Ability to communicate effectively/professionally with co-workers, organization members
and visitors, both verbally and in writing
Skills in operating various types of office equipment including a computer (MS Word, Excel, Publisher, PowerPoint Internet, copy machine/printer), and familiarity with CRM software.
Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
A positive attitude, professionalism, and a willingness to collaborate with colleagues and
Chamber members.
