Office Administrator

Part Time Position

$15 per hour

up to 25 hours a week as needed

Role Description

This is a part-time on-site role for an Office Administrator at Preservation Greensboro Incorporated in Greensboro, NC. The Office Administrator will be responsible for providing administrative assistance, managing office equipment, handling communications, delivering excellent customer service, and overseeing general office administration tasks on a daily basis.

Qualifications

Verifiable Accounting Experience
Administrative Assistance and Office Administration skills
Proficiency in operating office equipment
Strong communication skills and customer service orientation
Organizational abilities and attention to detail
Knowledge of clerical and administrative procedures
Experience with data entry and record management
Ability to prioritize tasks and handle multiple deadlines
This position requires a well-organized individual with strong accounting, proofreading, spreadsheet, and data-base management skills with ability in Excel, Access, and QuickBooks.
Additional requirements include: good interpersonal skills, ability to work well with others, strong organizational skills and the ability to work independently.
Helpful Programmatic Skills: Zoom, Square, DonorPerfect, Constant Contact, Google Workspace and Wix.
Experience in historic preservation or related field is a plus

Responsibilities

Coordinates with bookkeeper and Board Secretary on best practices for accountability and fiscal activities such as deposits, check requests, and reconciliation.
Maintains and keeps current membership records and coordinates acknowledgement letters.
Generates mailing labels for committees and subsidiaries as needed. Handles all approved bulk mailing requests.
Provides word processing, proofreading and compilation of reports and drafts or proofreads newsletter and grant applications as requested.
Assists at ASG during store hours as needed.
Assist in volunteer activities and special events, e.g. Tour of Historic Homes & Gardens, Festivals, and Architectural Salvage of Greensboro (ASG).
Maintains an up-to-date calendar of PGI, ASG, and other subsidiary entities and seeks to avoid conflicts with other organization’s events.
Performs other related duties as directed by the Executive Director and/or Board of Directors.
Answers incoming calls and routes them appropriately or provides information.
Order/monitor offices supplies as needed.
Shares responsibility of answering door and greeting visitors with other employees and docents.
Set up meeting space (physical or virtual) for Board meetings, assist with organization of workshops, special events, and annual meetings as directed. Some events may be outside normal working hours.
