Metcalfe seeks an Office & Marketing Assistant to support the studio in day-to-day administrative operations. The O&M Assistant will provide administrative support to our Operations Manager and Marketing Manager starting in a part-time capacity. This position will be required to work onsite at our office in Old City.

Key Responsibilities:

Marketing Administration

Coordinate the posting schedule of social media content and support with content population into newsletter templates.
Assist with updating and maintaining our database of digital assets (project photography, firm resumes, etc.).
Assist with CRM database entries and ongoing updates and maintenance.
Track deadlines for conferences, presentations, and awards submissions.
Support with marketing and business development calendar management.

Office Administration

Answer office phone lines, coordinate routing of voicemails to relevant staff, and greet in person guests.
Maintain office supply inventory and coordinate ordering as needed or directed.
Support mailings/receiving of packages.
Compile and organize necessary documentation and complete data entry for monthly expense reporting and client invoicing with detailed accuracy.
Assist with updating and maintaining project databases.
Maintain proper server and filing organization for project and accounting records.
Assist in the coordination of office events.
Support with general office calendar management.

Qualifications

Willingness and ability to learn and work within multiple management database platforms.
Strong attention to detail and ability to perform focused tasks with accuracy.
1-2 years of relevant work experience in a professional services company; experience working for an architecture, landscape architecture, exhibit, environmental design, or other design service studio is a plus.
Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
A desire to engage with our clients, internal team members, and a broad professional network.

Compensation

$20 per hour. This part time role will be scheduled for 20 hours per week.
