Job Description: Real Estate Assistant

Reports to: Matt Curry

Duties:

Maintains agent’s calendar and emails
Maintains CRM (Customer Relationship Management)
Creates and maintains an Operations Manual that documents all systems and standards
Creates and maintains checklists to ensure a standard process is followed for all activities
Serves as a point of contact in handling customer inquiries
Lead Generation and Lead Follow-up
Maintains website
Scheduling of client appointments, showings, inspections, contractors, closings, etc
Input listings into the MLS, set-up listings including placing signs, shoe covers, flyers, and lockboxes
Performs Transaction Coordinator duties including:
Processing Contracts through closing
Prepopulating contract documents
Reviewing contract documents for completeness
Communicating with clients
Ordering Inspections and Contractors
Submitting Earnest Money
Submitting Files to Brokerage Administrative Staff
Sending specific information and communicating to lenders, cross-sale agents, and title companies
Orders office and administrative equipment, supplies, and gifts for clients as directed
Printing, scanning, and filing of documents
Keeps all files up to date (physical and digital)
Maintaining business social media accounts, and creating and updating posts on multiple platforms
Maintaining an organized system for mailers, cards, gifts, and marketing materials
Completing and sending out a monthly newsletter to clients
Participating in training activities provided
Assisting with property management
Other duties as described

Qualifications

Customer service experience
Maintains a cordial and positive mindset and can optimistically work through challenges and setbacks
Strong understanding of Fair Housing regulations
Excellent communication and negotiation skills
Proficiency in Microsoft Office and Google Suite
Multilingual or bilingual proficiency is a plus
Knowledge of property management and real estate
Prior administrative experience
Strong organizational skills and attention to detail
Able to support others and think and act proactively
