The International Rett Syndrome Foundation (IRSF) is seeking a dedicated donor database coordinator with extensive CRM experience. Your role will be instrumental in advancing our mission of accelerating research and empowering families affected by Rett syndrome, significantly impacting our cause.

IRSF is based in Cincinnati, Ohio, with a combination of in-office and remote employees across the U.S. This role provides the opportunity to work with a diverse team, supporting all areas of the organization to ensure proper reporting and documentation of gifts, constituent data, events, and volunteers.

Position Summary:

The Donor Database Coordinator plays a crucial role in maintaining a healthy donor database. This involves accurate and detailed financial gift processing, data entry, and reporting. The role reports to the Administrative Director and works closely with the Development Director, supporting all areas of the organization to ensure proper reporting and documentation of gifts, constituent data, events, and volunteers. The Donor Database Coordinator must possess a drive for excellence, a keen eye for detail, and sound judgment to interpret data (historical precedent, supporting documentation, etc.) to determine the donor’s wishes when entering a gift. They are also responsible for generating detailed and accurate lists for mailings and emails to support IRSF initiatives.

This is a full-time, hourly position located at the IRSF corporate headquarters in Cincinnati, Ohio, with a standard hybrid schedule of three days in-office and two days remote per week. Standard benefits including vacation and holidays are included and some travel may be required.

Job Responsibilities:

Accurately enter gifts into the IRSF donor database, including general donations, event registrations, donations and sponsorships, direct mail responses, corporate gifts, major gifts, estate gifts, in-kind gifts, payments on pledges, and tribute donations.
Set up and create new gift batches. Process IRSF donations daily within 24-48 hours of receiving the gift and properly code gifts to the correct campaign, fund, appeal, and package.
Create tribute accounts and attach appropriate family acknowledgment information. Set up matching gift donations and create matching gift pledges.
Generate tax-receipt acknowledgments for all donors within 24-48 hours of being received.
Create new constituent records and consistently update biographical constituent records with new information contained through donations, correspondence, and staff members.
Generate large mailing lists for appeal, event, and newsletter mailings and various emails.
Perform regular CRM maintenance to identify and correct discrepancies or errors to ensure data integrity.
Answer donor-related questions via phone or email.
Perform additional data entry and larger-scale projects as needed.
Run detailed queries and reports from the database for all departments.
Generate lists for event chairs prior to the event and after receiving all donations.
Set up CRM automation and reminders, including New Parent Track.

Qualifications:

2+ years of experience in gift processing.
2+ years of experience managing CRM (experience with Virtuous or Blackbaud preferred)
Bachelor’s degree in a related field preferred or an equivalent combination of education and experience.
Ability to enter financial and biographical data quickly and accurately.
Strong problem-solving skills
Demonstrates high clerical accuracy and attention to detail.
Must present a professional demeanor and positive attitude.
Must be a continuous learner, excited about technology and new approaches.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Effective verbal, written, interpersonal, and phone skills
Superb interpersonal skills and the ability to “jump in” when needed
Team-oriented focus with the ability to work independently

Salary: $22/hour (Non-exempt)
