Overview

Bayview is currently seeking a Human Resources Administrative Assistant (HR Admin) who will provide administrative support to all areas within the Human Resources (HR) department and ensure that HR workflow is efficient and effective in the incumbent’s area of oversight. These is a hybrid role in our Coral Gables corporate office.

Responsibilities

Reconciliation and processing of all department invoices and check requests, including department credit card statements.
Responsible for the monthly employee birthday cookie order placement.
Oversight and administration of the Company’s third-party rewards and recognition platform (e.g., Snappy Gift).
Oversight and administration of the Employee Tenure Award program (purchasing/distribution).
Oversight and administration of the Company’s DOL poster responsibilities.
Personnel file oversight and administration:
- Employee file requests for audits or other legal matters
- Uploading employee documents to their respective file
Responsible for the ordering and distribution of bereavement and newborn keepsakes,
Coordinate logistics for corporate community outreach events, Mentorship Program events, etc.
Send out various corporate communication emails to entire organization as needed.
- Creates employee communication flyers.
- Assist with content development for companywide newsletter.
Responsible for the upkeep of the HR Marina pages.
Provide the SVP of HR with support with planning the yearly HR department team meeting.
Respond to employee inquires received via the Human Resources email inbox.
Review all Shoutout Showcase submissions (employee recognition tool) and approves or denies accordingly.
Assist in the tracking of sign-on bonus repayment, if needed.
Administer, review and approve tuition reimbursement program applications within policy guidelines then processes reimbursement requests.
Order and properly keep inventory of the Company’s branded on-boarding gift.
Monitoring the progress of new leader checklists
Assist the company’s Employee Engagement Manager with companywide communications, as needed.
Responsible for reviewing and ordering business card requests.
Responsible for various HR vendor management tasks (e.g., entering new vendors into the Company’s vendor management software).
Review and approve or deny employee profile picture submissions.
Pull Adhoc reports from the Company’s Human Resources Information System (HRIS) and depending on scope, provide summary of findings.
Receive monthly authorized work documentation expiration dates, notify respective employee of need for renewals, and follows up, and notify HR Business Partner of any non-compliant status.
Other HR-related projects and duties as assigned.

Qualifications

Bachelor’s degree in human resources, Business Administration, or another relevant field preferred.
At least 1-2 years of previous Human Resources experience highly preferred.
At least 1 year of previous administrative support required.
Excellent written and verbal communication skills.
Strong presentation skills.
Strong organizational skills and attention to detail.
Robust analytical skills.
Ability to generate innovative and creative solutions and trending reports.
Ability to prioritize and multi-task.
Familiarity with benefits, leave and corporate wellness industry.
Proficient with Microsoft Word, Excel, and Outlook.
Maintains absolute confidentiality and integrity of all Human Resources functions.

Certifications, Licenses, and/or Registration

SHRM CP/SCP or PHR/SPHR, preferred.
